POSITION PURPOSE
The Sales Assistant works closely with the Inside Sales Representatives in assisting in the process of order entry and the overall activities of the department to ensure that the goals are achieved and the needs of the customers are fulfilled. This position also provides general support functions for sales staff as required.

ESSENTIAL FUNCTIONS
  • Responsible for distributing sales documentation such as order acknowledgements.
  • Responsible to manage incoming and outgoing mail and faxes.
  • Responsible to arrange services and order supplies for office equipment.
  • Answers mainline telephone calls in support of the Inside Sales group. This includes addressing some simple customer queries such as order status, current delivery lead times, stock availability, etc.
  • Maintains customer order files and scans documents for the sales department.
  • Maintains an up-to-date master database and mailing list.
  • Executes reports and/or types correspondence such as customer late order reports, inventory, order inquiry and others as needed.
  • Assists in compiling claim information and claim entry/
  • Develop skills to fill in for Inside Sales Representatives in periodic absences including order status communication, performing inventory searches and order entry
  • Maintain a schedule of customer plant closures for use by production planning and shipping
  • Monitor status of orders which includes orders on hold for proofing, credit release, pricing and quality. This includes closing out any orders that do not auto close following shipment.
  • Maintain compliance of documents retention and shredding of old documents.
QUALIFICATIONS
Competencies and Experience

Required:
  • Previous clerical experience
  • Good computer skills including Word and Excel
  • Ability to work in a team environment
  • Good verbal and written communication skills
Preferred:
  • Previous experience as an Administrative or Sales Assistant
Education

Required:
  • Associates degree in Business or related field

WORK ENVIRONMENT AND PHYSICAL DEMANDS

The employee will frequently be required to:
  • This position operates in an office environment. The role uses standard office equipment such as computers, phones, photocopiers, filing cabinets and scanners. This role is partially sedentary, sitting for several hours at desk. Additional activity of walking to/from and standing at alternative work areas (e.g. photocopiers, paper shredders, and mailroom); alternate sitting and standing as needed. Filing and handling materials is required. This requires the use of hands to finger, hold, handle, reach with hands and arms and to lift and/or carry items up to 30 lbs
The employee will occasionally be required to:
  • This position would periodically require work in the mill environment with some exposure to heat/cold, walking/stairs, noise and wearing safety equipment/clothing for protection from hazards for plant tours
  • Drive for departmental errands and trainings

POSITION TYPE - WORK HOURS - TRAVEL REQUIREMENTS:
  • Position is full time, non-exempt, and is eligible for overtime
  • Position works an eight (8) hour day shift, Monday through Friday, occasional overtime may be required
  • Travel for this position is limited and expected to comprise less than 1% of work hours
